Why the humble till roll deserves your attention

Nothing derails a busy Saturday morning quite like a card terminal that suddenly stops printing. The queue is building, the customer is waiting, and you are crouched behind the counter trying to coax a scrap of paper out of a machine that has clearly given up. It is a tiny detail in the grand scheme of running a shop or café, but till rolls and receipt paper have a habit of making themselves known at the worst possible moment.

The good news is that this is one of the easiest problems to prevent. With a bit of forward planning and a sensible routine, you can keep your point-of-sale running smoothly without ever having to apologise for a missing receipt again.

How often should you actually replace a roll?

There is no single rule that fits every business, because it depends entirely on how many transactions you process and how much paper each one uses. A busy coffee shop might burn through a roll in a day or two, while a small consultancy that takes a handful of card payments a week could make one last for months. Rather than plotting dates on a calendar, train yourself and your team to watch for the practical signs.

  • Fading print: If the text on your receipts is looking grey, patchy or faint, the roll is running low or the thermal coating is struggling. Do not wait for it to disappear completely.
  • The warning stripe: Many rolls print a coloured line or a small marker near the end of the paper. Treat it as a firm nudge, not a suggestion.
  • Visible thinning: When the roll looks noticeably slimmer inside the terminal, it is time to swap it out at the next quiet moment.
  • Rough length: Aim to change a roll when roughly a fifth of the paper remains. That gives you enough buffer to finish the current transaction properly.

The golden rule is simple: never let a roll get so low that you are gambling on the next customer. A receipt that cuts off halfway through looks unprofessional and can cause problems if someone needs proof of purchase.

Choosing the right paper for your terminal

Not all till rolls are created equal, and using the wrong size or type can cause jams, poor print quality and unnecessary wear on your equipment. Most card terminals and receipt printers in the UK use standard widths such as 57mm or 80mm, but it is worth checking your specific model before ordering in bulk.

  • Width and diameter: Match both the roll width and the maximum roll diameter your printer can hold. An oversized roll may not fit; an undersized one means more frequent changes.
  • Paper type: Thermal paper is the norm for card terminals because it prints without ink. Standard bond paper is used in some impact printers, so check which your machine needs.
  • BPA-free options: Many businesses now prefer BPA-free thermal rolls, especially where staff handle receipts all day. It is a small upgrade that shows you care about your team.
  • Core size: The cardboard tube in the middle matters more than people realise. A mismatched core can stop the roll feeding correctly.

Buying in slightly larger quantities often works out cheaper per roll, but make sure you have somewhere dry to store them. Damp paper curls, jams and prints poorly.

Building a simple restocking habit

The most effective approach is to treat till rolls like any other essential supply. Set a minimum stock level and stick to it. For most small businesses, keeping at least two to three weeks' worth of rolls on the premises is a comfortable cushion.

  • Store spares near each till or terminal, not in a back office nobody visits during a rush.
  • Keep a small stash under the counter so any team member can swap a roll in seconds.
  • Nominate one person to check stock levels each week and reorder before you dip below your minimum.
  • Rotate your stock so older rolls get used first, keeping the paper fresher.

It also helps to have a quick routine for changing rolls. Open the cover, remove the empty core, drop in the new roll with the paper feeding from the correct direction, close the lid and tear off the first few centimetres. Practise this once or twice so it becomes second nature.

Getting more from your point-of-sale supplies

Till rolls are part of a wider picture. Receipt paper, card terminal rolls, cleaning wipes for the printer head and spare batteries for handheld devices all keep your counter running. Ordering these together on a regular schedule saves time and often reduces delivery costs.

Consider printing less where you can. Offering digital receipts cuts paper use, speeds up service and keeps customers moving. Many people prefer an email or text receipt anyway, and it means fewer rolls to buy and store.

Finally, look after the terminal itself. Dust and grit around the print head cause the faint, streaky output that makes people think a roll is failing when it is actually fine. A gentle clean every few weeks, following the manufacturer's guidance, keeps print quality sharp and extends the life of your equipment.

None of this is glamorous, but it is the kind of quiet groundwork that keeps a shop, café or small business trading without interruptions. A drawer full of spare rolls and a team that knows how to change them is a small investment that pays off every single trading day.
