Reducing Waste at the Checkout in Independent Shops

Why every unused till roll adds up

In a busy independent shop or cafe, a receipt printer feels harmless. But over a week, those little slips add up. A typical small business gets through several till rolls, and much of that paper is never looked at. Thermal receipt paper is tricky to recycle because of its coating, so most ends up in general waste. That costs you money on supplies and waste collection, and it puts pressure on the environment. The good news is you can cut a lot of waste without upsetting customers or slowing down your checkout. It starts with a shift in habits and a few practical choices about your point-of-sale supplies.

Make digital receipts your default offer

The most effective way to reduce receipt paper waste is to offer a digital alternative. Most modern POS systems and card machines can send a receipt by email or text. If yours can, make that the first option you mention. Train your team to ask, “Would you like a digital receipt or a printed one?” instead of automatically hitting print. Many customers – especially younger ones – will happily take a digital copy. It is easier to store, harder to lose, and often accepted for expenses and VAT records. For cafes and shops with loyalty schemes, a digital receipt can even connect to their account. You do not need to force anyone. Simply making digital the easy choice will reduce paper use dramatically. Keep a small sign by the till explaining that you offer digital receipts to cut waste.

Train your team to print only what is needed

Even with digital receipts, some customers will still want paper. That is fine. The goal is not to eliminate paper, but to stop printing receipts nobody wants. Change your POS settings so receipts do not print automatically. Staff should only print when a customer asks. For card payments, many people do not need a paper copy because their bank app shows the transaction. For cash payments, a receipt is often more important, but you can still ask. Train staff to avoid duplicate copies unless requested, and to skip printing for voided or zero-value transactions. If your system allows it, use the shortest receipt format available. Some systems print a header, logo, footer, and promotional messages. Check what is legally required – your VAT number, for example – and cut the rest. A shorter receipt uses less paper and prints faster, speeding up your queue.

Choose till rolls that suit your actual needs

The till rolls you buy have a direct impact on waste. Longer rolls mean fewer changes, but if you swap a roll before it is finished, you throw away the leftover paper. For a low-volume shop, a very long roll might sit for weeks and get damaged. Choose a roll length that matches your sales. Standard UK thermal rolls often come in 57mm or 80mm widths. A 57mm roll is common for card machines and smaller tills, while 80mm is standard for many EPOS systems. Pay attention to core size, too. A smaller core holds more paper but must fit your printer. A larger core means less paper per roll and more frequent changes. Consider paper weight: 55gsm is lighter and uses less material but can curl or jam; 60gsm or 65gsm is more robust. Test a few options. Finally, buy from a supplier who stores rolls properly. Damp or overheated paper becomes unusable, turning stock into waste.

Keep your printer clean and settings lean

A well-maintained printer wastes less paper. Dust and adhesive residue on the print head cause faded receipts, which lead to reprints. Clean the print head regularly with a recommended cleaning pen or wipe. Check the paper path for stuck paper that can cause jams. A jam often means a ruined receipt and a frustrated customer. Adjust settings to reduce top and bottom margins if possible. Some models have a “paper save” mode that cuts a few millimetres from each receipt – that adds up over thousands of transactions. Store spare rolls away from sunlight, radiators, and windows. Thermal paper darkens with heat, so a roll left on a sunny windowsill becomes useless. Keep them in a cool, dry cupboard. Also, finish the old roll completely before opening a new one. It is tempting to swap early for a clean edge, but that leftover paper is pure waste.

Make waste reduction a habit, not a one-off

Small changes work best when they become routine. Once a month, look in the bin beside your till. How many receipts are there? Were they discarded because customers did not want them, or printed by mistake? Ask staff for their observations – they see the waste daily. Set a simple target, such as reducing till roll orders by one box per quarter. Track how many rolls you use each month. Tell customers about your efforts. A friendly note saying “We offer digital receipts to reduce waste – just ask” can start positive conversations. Remember that customer service comes first. If someone wants a paper receipt, give them one with a smile. The aim is to cut unnecessary printing, not to make anyone feel guilty. With a little training and smart choices about your point-of-sale supplies, you can run a greener checkout that still feels warm and welcoming.
