In a busy coffee shop, every second counts. A clear policy on when to print receipts and where to store copies keeps service quick, cuts waste, and makes daily reconciliation easier. This guide offers practical rules for UK cafés and small shops, covering when to print, where to store copies, and how to choose the right till rolls.

When to Print: A Simple Default Policy

The easiest rule is: default to no receipt. Then train staff to offer one only when it makes sense. Always print for:

  • Customer requests – no hesitation.
  • Refunds or exchanges.
  • Business customers needing a VAT receipt.
  • Any sale where your till system demands a paper copy for reconciliation.

For everything else, a digital receipt by email or text is fine if your POS offers it. Don't push it. Some customers, especially older ones, prefer paper. That's okay. If they ask, print. If they don't, don't. This removes decision fatigue and keeps the queue moving.

Where to Store Receipt Copies

UK law requires you to keep sales records for six years, but you don't need every scrap. Use a simple system:

  • Daily reconciliation: Staple Z-reports to any voided or refunded receipts. Store in a labelled envelope for that day.
  • Customer copies: Use a small spike or tray behind the till. Empty it into the day's folder at each shift change.
  • Digital backups: Export electronic receipts weekly to a secure cloud folder or external drive.
  • Storage: Keep day folders in a locked drawer. Archive monthly in a dry, cool place – heat and damp ruin thermal paper.

Avoid stuffing receipts into a carrier bag under the counter. A simple folder system takes seconds but saves hours of stress. Remember that HMRC requires you to keep records for six years. If you're ever audited, a tidy folder system makes the process much less painful.

Choosing the Right Till Rolls for Cafe Conditions

Cafés are humid and busy. Your receipt paper must survive a splash of milk. Look for:

  • Thermal paper, not bond: Choose "long-life" or "top-coated" rolls that resist fading and moisture.
  • Correct size: Common UK sizes are 57mm x 40mm or 80mm x 80mm. Measure your printer before ordering.
  • Core size: Match the cardboard tube to your printer's spindle – 12mm or 25mm are typical.
  • BPA-free: Safer for staff handling receipts all day.
  • Storage: Keep spare rolls in a dry cupboard, away from radiators. Don't stockpile more than a few months' worth.

Humidity is the enemy of thermal paper. If your cafe is steamy, keep rolls in a sealed plastic tub. And never leave a roll in the printer overnight if you can avoid it – the heat from the mechanism can cause fading.

Daily Reconciliation Without the Headache

At closing, match your till total to sales. A clear printing policy makes this fast. Routine:

  • Run the end-of-day report.
  • Count cash and compare.
  • Check voids and refunds – write a reason on each.
  • Count customer receipts on the spike. It should roughly match transaction numbers.
  • File the day's paperwork with date and initials.

This takes ten minutes if you keep tidy. Leave it a week and it takes an hour. Deal with receipts every shift. If your numbers don't match, check for a roll that ran out mid-service or a receipt that didn't print. A quick look at the spike can often explain the difference.

Training Your Team and Reviewing the Rules

Include receipt handling in first-shift training. Show new staff where spare rolls live, how to change a roll without jamming, and where to put customer copies. Review your policy every few months. If you see many receipts left behind, try a small sign: "Receipts available on request." That gentle nudge reduces waste and speeds up service. Finally, keep a small emergency stash of till rolls behind the counter – not in the stockroom. A busy Saturday morning is no time to run out. Make receipt handling part of your daily opening and closing checklists. A quick review at the end of each shift catches problems early.
