Understanding Paper Roll Widths for Busy Checkout Counters

Different tills need different paper widths. Checking your machine's manual helps you avoid waste and ensures every receipt prints clearly.

Why the Width of a Till Roll Matters More Than You Think

Walk into the stockroom of almost any café, shop or salon and you will usually find a stack of till rolls bought in a hurry, with at least one box that turned out to be the wrong size. Paper that is too narrow leaves half the receipt blank. Paper that is too wide rubs against the housing, tears at the edges and eventually jams mid-transaction.

Getting the width right is one of the simplest ways to protect your print head, cut down on wasted paper and make sure every customer gets a receipt they can actually read. It takes two minutes to check, so it is worth doing before you order in bulk.

The Widths You Will Meet on a Typical Counter

Most UK tills, EPOS printers and card terminals use one of a handful of standard widths. It helps to know the common ones so you can spot your own at a glance.

  • 80mm — the workhorse of café and retail EPOS printers, often the same machine that prints kitchen tickets. Usually described as 3 1/8 inch.
  • 57mm — portable card machines, handheld terminals, smaller tills and mobile printers. Often sold as 2 1/4 inch.
  • 76mm — found on older, larger impact tills that are still going strong in some independent shops.
  • 44mm — chip-and-PIN terminals and older cash registers.
  • 37.5mm or 37mm — compact card readers and some vintage tills.

Two widths can look almost identical on a crowded shelf, so never assume that a roll will fit just because the packaging says "till roll".

How to Check What Your Machine Actually Takes

Start with the manual if you still have it, and note the model number printed under the lid or on the base. If the manual has long since vanished into a drawer, measure the roll that is currently in the machine.

  • Take a ruler across the flat face of the roll. That measurement is the paper width.
  • Measure the core too — the hollow tube in the middle. Common sizes are 12.7mm (half an inch), 25mm (one inch) and 40mm. A core that is too large will not sit on the spindle; one that is too small will drag and feed unevenly.
  • Check the paper type at the same time. Thermal rolls print without a ribbon, while impact machines need bond paper and a ribbon. The wrong combination gives you blank receipts.
  • Look at how much clearance the roll has inside the compartment. A roll that fits but sits tight against the lid will cause misalignment and smudged print within days.

Width Is Only Half the Story

Once you know your width, the next number to watch is the roll diameter, usually written as the second figure in a size like 80mm x 80mm. That means 80mm wide with an outer diameter of roughly 80mm. A larger diameter means more paper per roll and fewer changes during a busy shift.

Paper weight matters too, measured in gsm. Around 55gsm is thin and prone to curling, 70gsm is the everyday standard for most EPOS printers, and 80gsm feels more substantial for customer-facing receipts. Very heavy paper can strain the motor on a compact card terminal, so stick close to what the manufacturer recommends.

Storing Rolls So They Still Work in Six Months

Thermal paper is a sensitive product. It darkens with heat, light and certain chemicals long before you ever feed it into a printer.

  • Keep boxes away from radiators, ovens, hot counters and direct sunlight.
  • Store off the floor and away from damp back doors, where paper swells and then feeds badly.
  • Leave rolls in their original wrapping or a closed box rather than loose on a shelf.
  • Keep them clear of hand creams, cleaning sprays, oils and PVC — plasticiser from cling film and plastic wallets is a particular culprit.
  • Rotate your stock and use the oldest first. Under good conditions, thermal paper keeps for roughly two to three years.

Ordering Without Wasting Money

If you are unsure of your size, buy a couple of single rolls first and test them through a full day of trading before committing to a box of fifty. Once you are confident, standardise across every till in the business where you can — fewer sizes means less confusion behind the counter and usually better prices on larger quantities.

A few practical habits save real money over a year. Keep one spare roll loaded beside each till plus a sealed reserve in the stockroom. Note the width, diameter, core size and gsm on a label inside the cupboard door so anyone can reorder correctly. And never trim a wider roll down to fit — the cut edge sheds paper dust that clogs the print head and can shorten the life of an expensive machine.

Get the width right, match the core and paper type, and store your stock sensibly, and your checkout counter will keep running smoothly through the busiest Saturday of the year.
